Key Performance Areas (KPAs)

1. RECEPTIONIST

1.1 SCHEDULING OF APPOINTMENTS
Responsible for the timeous scheduling of diaries to give the managers sufficient opportunity to carry out their activities, marketing actions, and internal and external matters.
 
1.2 LIAISON WITH CLIENTS
The person should be friendly and helpful and is responsible for attending to clients without wasting time. Responsible for dealing with enquiries professionally, ensuring that the information that is provided is correct and seeing to it that clients are correctly referred.
 
1.3 GENERAL ADMINISTRATIVE DUTIES
Responsible for general administrative tasks such as dealing with incoming post, sending out e-mails, filing and general office work and ensuring that these tasks are carried out on time.

1.4 STATIONERY CONTROL
Responsible for ensuring that both clients and the division have sufficient stationery items at their disposal.
 
1.5 KEEPING MINUTES AND AGENDAS 
Responsible for keeping minutes and agendas up to date, that they are correctly compiled and distributed on time.
 
1.6 ORGANISING FUNCTIONS
Responsible for organising functions, doing catering and for all invitations according to requirements.
 
2. TYPING
2.1    EXECUTION OF TYPING WORK
Responsible to ensure that all typing is carried out in the correct format and within the time allowed.
 
3. SALES FOCUS
3.1    MARKETING
Responsible for identifying selling opportunities and to refer such opportunities and leads to the correct person or department involved.
 
4. GENERAL
4.1 OTHER DUTIES
Must be prepared/willing to do any other reasonable and lawful instruction/task.

Minimum requirements

Experience/Knowledge & Skills
•    Knowledge of the system and processing activities
•    Professional image and grooming
•    Self-confidence and interpersonal skills
•    1 Year relevant experience 
•    Computer literate (knowledge of Word, Excel and PowerPoint)

QUALIFICATION
•    Grade 12
•    Formal secretarial qualification will be an added advantage
