Job description

KEY PERFORMANCE AREAS (KPAS)
 
1.    Secretarial Duties
1.1 Scheduling of appointments
•    Ensure effective and efficient booking of all appointments of the Branch.
•    Schedule staff meetings of the Branch and take minutes.
•    Assist with typing of other administrative duties in the Branch.
 
1.2 Customer Service  

Ensure that all customers internal and external are assisted in a professional, prompt and in a friendly manner.
1.3    Telephonist Etiquette
•    Ensure effective and efficient screening of all incoming calls transferring of such calls to relevant staff in a professional and prompt manner.
•    Effective and efficient handling of the switchboard.  
 
2.    Administrative Duties 
 
2.1 ITC enquiries, reports and listing
•    Assist in conducting ITC checks and listing/delistings of defaulting clients from time to time and/or when required. 
•    Assist Branches regarding listing and delisting of defaulting clients on ITC.
 
3.     Stationery control
•    Responsible for effective and efficient stationery orders and control thereof st all times.
•    Ensure effective administration and control of incoming and outgoing mails of the Branch. 
 
4.    General
•    Must be prepared/willing to do any other reasonable and lawful instruction/task and ensure that it is normally carried out on time and correct.

Minimum requirements

EXPERIENCE/KNOWLEDGE & SKILLS
•    2 – 3 years secretarial experience
 
QUALIFICATION
•    Grade 12 with minimum 25 points
•    A certificate in office administration will be an added advantage
