Introduction
The primary purpose of this position is to manage the workflow, scheduling, and resource allocation of all creative projects within the Creative Services department. This role reports to the Creative Director and ensures that projects are delivered on time, within budget, and meet the highest quality standards. The Traffic and Production Manager is the central point of contact for project intake, prioritisation, and execution, collaborating closely with internal stakeholders, the creative team, and external vendors. The role is critical to ensuring the efficient and effective delivery of creative projects that support the organisation’s goals.
Job description

KEY PERFORMANCE AREAS

Purpose and Realisation
• Workflow Coordination:
- Plan and manage the end-to-end workflow of creative projects, ensuring smooth
transitions between concept, design, production, and delivery.
- Gatekeep and act as the primary liaison between the creative team and internal
clients (e.g., marketing, sales, and product teams).
- Prioritise and assign projects based on deadlines, resources, and business
objectives.
• Scheduling and Timelines:
- Develop and maintain project schedules, ensuring all milestones and deadlines are
met.
- Proactively identify potential bottlenecks and implement solutions to keep
projects on track.
- Communicate project status updates to stakeholders and team members
regularly.
• Resource Allocation:
- Monitor team workloads and allocate resources effectively to balance capacity,
demand and wellness.
- Coordinate freelance or external vendor support when necessary.

Production Management
• Quality Control:
- Oversee the production process to ensure all deliverables meet brand standards
and client expectations.
- Review proofs, mock-ups, and final deliverables for accuracy and consistency.
- Keep up to date with the latest production trends, materials, and
technologies/innovations.
- Hands-on during projects that require production (e.g., photoshoots, activations,
recordings, etc)
• Budget Management:
- Track project budgets, including costs for external vendors, printing, and other
production expenses.
- Ensure cost-effective solutions without compromising quality.
• Vendor Management:
- Source, negotiate with, and manage relationships with external vendors (e.g.,
printers, photographers, videographers, etc.).
- Ensure vendors deliver high-quality work on time and within budget.

Process Improvement
• Optimise Workflow:
- Identify opportunities to streamline processes and improve efficiency within the
creative department.
- Implement tools and systems to enhance project tracking, reporting and
communication.
• Documentation and Reporting:
- Maintain accurate records of project timelines, budgets, and resource allocation.
- Generate reports on team performance, project completion rates, and other key
metrics to Creative Director

Brand Compliance Management
• Ensure all-round compliance and quality assurance of production material to all Bank
Windhoek brand elements, including corporate and visual identity and brand value
proposition

• Ensure brand consistency from artwork produced across all customer touchpoints
(internal and external)

Team Support
• Assist with administration duties and provide feedback to the Creative Director.

motivate creative brilliance.
• Collaborate with creatives and marketing professionals to ensure quality delivery and
departmental growth

General Duties
• Must be willing to perform any other reasonable and lawful duties assigned by
management and ensure they are completed on time and in full.
• Must possess a valid driver’s license.

Minimum requirements

Experience/Knowledge & Skills
• Bachelor’s degree in Marketing, Communications, Business, Project Management or a
related field.
• 5 years of experience in traffic management, production management, production
management or a similar role within an advertising agency or creative environment.
• Strong understanding of creative processes, including design, copywriting, video
production, and print production.
• Proficiency in project management tools (e.g., ClickUp, Microsoft Project, etc.) and
Microsoft Office suite.
• Ability to manage multiple projects simultaneously in a fast-paced environment.
• Strong leadership and interpersonal skills, with the ability to collaborate effectively
across teams.

Qualifications
• Matric (Grade 12)
• Diploma/Degree in related field (minimum two years study), through a recognised
institution
