This role is responsible for Human Capital data quality, analysis, and reporting to all Group Entities in Namibia, collect, interpret and report insights about various HC functions. Provide effective support service to all end-users. To assist the direct line manager in the achievement of the division’s objectives by providing HR Data Quality and Reporting to all Group Entities within Namibia.
Job description

1. Reporting   

Detailed Description

1.1   HC Dashboard and Reporting

1.1.1   Takes ownership of HC data manipulation and reporting by capturing HC activities on the HC dashboard to determine the value of the HC practices and how it contribute to Bank and Group’s HC decision making. Pick up on significant trends and changes proactively. Send reports to relevant stakeholders to provide insights and recommendations.

1.1.2   Provide several reports: Monthly to the Bank Windhoek Executive Management Team; quarterly reports to the Capricorn Group/CAM HR Board Committee; reports and information to line management and other stakeholders on request and statistical information for the Annual EE Report and 3-year AA Plan.

1.1.3   Responsible for the review, evaluation, design, implementation, and maintenance of reporting to support current business initiatives.

1.1.4   Responsible for developing and maintaining new standardized metric reporting on a routine basis, i.e., define, create, automate, and maintain HC reporting.  

1.1.5   Do monthly reporting on the actual results of the department, assist manager with conducting a departmental budget needs assessment and with the compilation of e.g., the CAPEX and OPEX budget and the preparation of the annual staff cost budget for functional and support costs.

1.2   Data Quality  

1.2.1   Responsible for auditing, updating and maintaining HC data to ensure consistency of information. Responsible for quality control of data on a basis and also for liaising with recruitment division on exceptions for corrections. Verifies all data captured by recruitment as correct and do reporting, also on changing of existing staff’s particulars.

1.2.2  Check for changes on a continuous basis for statistical reporting:

l Support Manager: HC Shared Services in Identifying meaningful metrics for the HC elements in strategic initiatives and develop measurement methodologies that provide the company with valuable insights and perspectives.

l Support special projects and prepare ad hoc reports upon request from key stakeholders.

l Create reports and generate dashboards that serve as critical input to EMT and Board Reports.

l Support Manager: HC Shared Service by Providing an input into vendor liaison on any system changes what may affect data maintenance, analysis or reports.

l Troubleshoot data related problems and resolve technical issues with the software vendor as required.

l Is responsible for the complaints and complements process on IT system e.g., queries and to check when actioning was successful.

l Assist Manager:  HC Shared Services with implementation of new modules purchased for HC system by working with vendor.

    2.  Stakeholder Relations                 

Detailed Description

2.1   Deliver and report analytic solutions to meet the needs of internal customers.

2.2   Develop and maintain healthy relationships with all functions within Group HC to ensure superior service delivery to the Business. Create and maintain basis of confidentiality of information.

2.3   Liaise and engage with management in a structured manner (trends in customer queries/issues, non-standard customer demands, etc.) and assist in improving the HC Service Delivery.  

3.  HR Support Service         

Detailed Description

3.1   Ensure that performance management contracts and assessments are loaded on the Smart HR system for the different performance cycles. Ensure that new appointees receive their performance contracts on a monthly basis.

3.2   Conduct query resolution and management.

3.3   Assist the Manager with the active management and coordination of the expenditure control and management process.

3.4   Create and maintain the Branch/departmental AA targets as per approved targets.

3.5   Responsible for filing and archiving of employee documentation as required per laid down procedures.  

 

4. People Management      

Detailed Description

4.1   Is responsible for the management of staff reporting to role: mentoring; coaching; development; teamwork; on-the-job training; appraisal; PD contracts and development plan.

4.2 Monitor the team for performance and provide feedback as required.

 

5. Research    

Detailed Description

5.1   Maintain an understanding of industry trends and best practices for HR metrics and reporting. Make recommendations to Manager.

5.2   Identify and implement new technologies and tools to enhance HR data collection and analysis in consultation     with Manager.

5.3   On request, research and access knowledge and information to assist Business Partners with specific problems.

 Academic Qualifications

Relevant Bachelor’s degree in a related field such as human resources, statistics, or business administration

Prefered Honours degree in a related field 

                                                                                                                                                                                                                                                

Minimum requirements

Five (5) years’ experience in general HR and analytics. Experience with data analysis software will be an advantage. Solid knowledge of administrative best practices, HR general practices required.
