Introduction
The Maintenance Manager is responsible for overseeing the maintenance and repair of all company facilities. This role ensures that all maintenance operations are conducted in compliance with relevant regulations and standards, while promoting a safe, environmentally responsible workplace within the framework of efficient operations and maximized productivity. The maintenance manager will take ownership of defining service levels with internal and external customers and manage delivery as well as periodic review of said service levels. The Maintenance Manager will lead a team of maintenance technicians, coordinate preventive and corrective maintenance activities, and manage maintenance budgets and resources whilst respecting the company corporate identity frameworks.
Job description

Key Responsibilities:

Team Leadership:

Supervise and mentor a team of maintenance technicians (including contractors), providing guidance, training, and performance evaluations.

Maintenance Management:

Insourcing vs. Outsourcing

·        Continuously evaluate the time- / cost- and qualitative effectiveness of maintenance performed in house vs. Outsourced activities

·        Determine the optimal split between insourced and outsourced activities

·        Responsible for ensuring maintenance contractors are handled in a professional manner providing accurate information according to requirements.

·        Responsible for the overseeing of outsourced service contracts which includes the input and obtaining of proposals/quotations for the annual revision/assigning of service contracts to enhance serviceability of infrastructure and equipment and to additionally ensure the execution of service contracts according to contractual agreements

Preventative maintenance management

Develop and implement preventative maintenance principles that ensure safe use of the asset, optimize the useful life of assets, the uptime of facilities and the cost of preventative maintenance. 

·        Maintain a forward-looking facility risk register, define risk appetites, implement risk appetites and continuously implement measures to manage risk to appetite.

·        Conduct risk assessments and develop strategies to mitigate potential hazards associated with maintenance activities.

·        Develop and implement preventative maintenance execution KPIs and targets that outline when the service levels have been met, have been exceeded upon or fell short of expectations.

·        Manage the cost of preventative maintenance via KPIs and targets which showcase the cost of maintenance per facility type (office, retail, ATMs etc.)

·        Perform on-site inspections and follow-up on work done to ensure timeous and correct preventative maintenance. Ensure that there are few call-outs/breakdowns due to ineffective execution of preventative maintenance.

Safety and Health Management

·        Ensure that any risk to life of health is swiftly attended to emanating from a facility owner or leased

·        Ensure proper communication in the event of HSE breaches

·        Conduct regular audits and inspections to assess adherence to HSE standards.

·        Investigate and report on safety incidents that occurred on facilities, recommending corrective actions as necessary

·        Conduct regular safety inspections and risk assessments to identify potential hazards and implement corrective actions

Corrective maintenance management (Troubleshooting and repairs):

·        Develop KPI’s and targets (e.g. turn around time to acknowledge, turn around time to fix, quality) that outline the service level

·        Diagnose and resolve complex mechanical and electrical issues in a timely manner to minimize operational disruptions

·        Evaluate whether to do self-repair or to use a contractor(s) or service provider(s) to do the maintenance. Also need to decide what tools/material are required and motivate the purchase thereof.

·        Continuously monitor and manage the cost of corrective maintenance and the downtime/ non accessibility/ non usability of facilities as part of the service delivery model

·        Implement root cause analysis to address recurring issues and prevent future breakdowns

Budget and finance Management:

·        Develop and manage the maintenance budget, including forecasting, tracking expenditures, and identifying cost-saving opportunities.

·        Negotiate contracts and manage relationships with external vendors and service providers.

·        Ensure that contractual obligations for maintenance contracts are paid in due time and within the approved budget. 

Inventory and Supplies:

·        Manage the inventory of maintenance parts, tools, and supplies, ensuring availability and proper storage.

·        Order and maintain stock levels of essential items to support maintenance operations.

Documentation and Reporting:

·        Maintain accurate records of maintenance activities, including work orders, service reports, and equipment history.

·        Prepare and present regular reports on maintenance performance, including key metrics and improvement opportunities.

Continuous Improvement:

·        Identify opportunities for process improvements and implement best practices to enhance the efficiency and effectiveness of maintenance operations.

·        Stay current with industry trends and advancements in maintenance technology and techniques.

General

·        Must be prepared and willing to do any other reasonable and lawful instruction or task delegated by supervisor or manager and ensure that it is carried out on time and correctly.

Minimum requirements

Qualifications:

·        B.Tech. degree in engineering, Facilities Management, or a related field (preferred) or equivalent experience.

·        Proven experience as a Maintenance Manager or similar role, with a strong background in mechanical, electrical, and facilities maintenance. At least 5 years experience.

·        Demonstrated leadership and team management skills.

·        Strong problem-solving abilities and technical expertise.

·        Excellent communication and interpersonal skills.

·        Ability to work independently and manage multiple priorities in a fast-paced environment.

·        Proficiency with maintenance management software and tools.

·        Knowledge of safety regulations and compliance standards.
